We are seeking a detail-oriented and highly organized Administrative Assistant to oversee and manage local, state, and federal funding related to Career and Technical Education (CTE) programs. The ideal candidate will have a strong background in accounting, financial reporting, and compliance monitoring. This position plays a critical role in ensuring fiscal responsibility, accurate reporting, and adherence to funding regulations.

QUALIFICATIONS:

  • Bachelor’s degree in Accounting, Finance, or a related field (required).
  • Experience in fund accounting, grant management, or education finance preferred.
  • Strong knowledge of state and federal CTE funding requirements.
  • Proficiency in accounting software, spreadsheets (Excel), and financial reporting tools.
  • Excellent written and verbal communication
  • Ability to maintain confidential information
  • Ability to manage multiple deadlines and work independently.

ESSENTIAL JOB RESPONSIBILITIES:

  • Perform budget analysis and prepare budget material for all CTE funds, including budget development and budget revisions.
  • Perform MDE-required reporting for CTE
  • Monitor account activity and communicate with appropriate staff regarding budget variances.
  • Prepare monthly credit card reconciliations.
  • Keep abreast of all statutes, administrative rules, and Michigan Department of Education interpretations to ensure compliance and accuracy of CTE funds.
  • Prepare bank deposits
  • Purchase order processing/online receiving.
  • Responsible for year-end CTE documentation, including inventory, petty cash reconciliation, and any other necessary financial reports.
  • Familiar with financial account code structure as outlined in the Michigan Public School Accounting Manual.
  • Verify CTE payroll/leave time for accuracy prior to submitting to payroll
  • Ensure RESA financial internal controls are being followed.
  • Provide oversight to the catering department and food service coordinator.
  • Complete monthly CTE report for the Board of Education.
