GENERAL STATEMENT OF DUTIES: The Guest Services & Events Coordinator oversees event execution, guest experience, and food and beverage operations for the facility. This role serves as the primary liaison between clients, staff, and vendors to ensure events run smoothly and meet all contractual expectations.
SUPERVISION RECEIVED: Work is performed under the direct supervision of the General & Assistant General Manager.
TYPICAL EXAMPLES OF WORK: An employee in this class may be called upon to do any or all of the following: (These examples do not include all the tasks which the employee may be expected to perform.)
- Coordinate and oversee all aspects of event setup, execution, and breakdown in accordance with event contracts and timelines.
- Serve as Lead on Duty (LOD) during events, monitoring operations, addressing issues in real time, and ensuring a high-quality guest experience.
- Act as the primary liaison between clients, vendors, and internal staff to ensure clear communication and successful event delivery.
- Schedule, train, and supervise event staff, including ticketing, ushers, concessions, and bartending personnel.
- Oversee food and beverage operations, including concessions and bar service, inventory management, ordering, and cost control.
- Ensure compliance with all health, safety, and sanitation regulations, maintaining clean and organized work areas.
- Assist with ticketing operations, including front desk support, ticket sales, and event-day box office setup when needed.
- Coordinate event logistics such as hospitality, catering, travel, and accommodations for performers and clients.
- Monitor event budgets by tracking labor, attendance, and operational costs; assist with maintaining cost efficiency.
- Prepare post-event reports, including staffing summaries, operational notes, and cost breakdowns.
- Support general facility operations, including customer service, vendor coordination, and supply management as needed.
DESIRABLE QUALIFICATIONS FOR EMPLOYMENT:
- Experience in event coordination, hospitality, planning and coordinating the food and beverage activities in a large, full service Civic Center.
- Ability to establish priorities while working under pressure and time constraints.
- Ability to work a varied schedule, including: all days of the week, weekends, evenings and swing shifts.
- Strong communication and interpersonal skills.
- Excellent organizational and planning skills.
- Proficiency with Microsoft Office, Excel and POS/event management systems
- Ability to establish and maintain satisfactory relationships with the public and with other employees.
An employee in this class, upon appointment, should have the equivalent of the following training and experience:
- Graduation from an accredited high school is required.
- Several years’ experience in event hospitality, planning and coordinating the food and beverage activities in a large, full service Civic Center.
- Must have a valid Michigan Driver License (Operator’s).
Working Hours: Varies based on scheduled events; Including any day of the week, weekends, evenings and swing shifts.
